Privacy notice for villa owners

1. Who is responsible

For this villa intake, the legal provider of RallyTravel named below is the data controller.

Legal controller: Market-Ai, Graveerstift 49, 3328 KL Dordrecht (Dutch Chamber of Commerce 91562260). For privacy questions, email rallytravel01@gmail.com.

2. Data we receive

Depending on your answers, we receive:

• contact and company details of the owner, manager or contact person;
• the accommodation name, location, exact address, capacity, layout and facilities;
• details about the padel court, coaching, meals, drinks and additional services;
• confidential net rates, packages, surcharges, payment and cancellation terms;
• the availability process, blocked periods and an optional calendar or iCal link;
• texts, images, captions, publication rights and correspondence;
• technical data required to secure the form and storage.

Do not submit identity documents, medical information, passwords, private calendar access or other sensitive data through this form.

3. Purposes and legal grounds

We use the data to assess and follow up a potential partnership, prepare an accommodation page and travel offer, coordinate availability, manage agreements and prevent misuse.

Depending on the situation, processing is based on steps requested before a contract, performance of an agreement, a legal obligation or a legitimate business and security interest. Where the form explicitly asks for optional consent, you may withdraw it at any time.

4. What stays confidential and what may be public

Contact details, the exact address, net rates, calendar or iCal links, blocked periods and internal agreements are not published automatically.

Images, texts, facilities and other public information are used only after manual review, coordination and approval. A submission does not guarantee publication or a partnership.

5. Storage and recipients

Submissions are stored in the secured website and CRM environment. Images are kept in protected storage. Brevo is used for the receipt confirmation and internal action email.

Access is limited to RallyTravel, the legal controller and technical providers needed for their task. We do not sell data, allow third-party marketing or send confidential form content to an external automatic translation service in this flow.

6. Local draft on your device

While you complete the form, text entries are stored in this browser on this device for up to 14 days. Image files are not stored in the local draft. Use ‘Clear draft’ or clear your browser data to remove it.

On a shared device, clear the draft after use. Data and selected files are stored on our systems only after you press submit.

7. Retention

An intake that does not lead to a partnership is normally retained for up to twelve months after the last contact. When we work together, data is kept as long as needed for the partnership, publication, administration, legal duties and possible claims, and never longer than necessary.

8. Security

We restrict dashboard access, protect files and use secure transfer. We never request a password for a calendar or accommodation platform. Online transfer always carries a residual risk, so do not send sensitive documents.

9. Your rights and complaints

You may request access, correction, deletion, restriction or portability, object to processing and withdraw consent. We may request additional information to verify your identity.

You may lodge a complaint with the Dutch Data Protection Authority or the competent privacy authority in your country.

10. Changes and contact

The latest version is always available on this page. We update it when the form, our services or the law changes.
